n8n vs Make vs Zapier: Choosing an Automation Platform Carefully

AI & Automation
Plan data minimization, access controls, vendor review, retention, and human accountability for AI-enabled automation.
Before automating a process, map where information originates, every service it passes through, where it is stored, and who can access the outputs. Include less visible destinations such as execution logs, error reports, backups, analytics, and human review queues. Name an accountable owner for the data flow, not just the person who built it.
Imagine a recruitment agency using AI to summarize candidate applications. Files may move from an application form into cloud storage, an automation platform, a model service, and the recruitment CRM. An error notification might also include the original application. Draw that extra branch. Without this map, the agency could review the main vendor carefully while overlooking sensitive personal details copied into a broadly accessible team chat.
Identify which fields the specific task genuinely requires. Remove irrelevant identifiers and sensitive details before data leaves the source system where practical. Redaction must be tested; simply deleting a name may leave an email address, distinctive employment history, or another identifying detail. Pseudonymized data can still be personal data.
For an initial skills summary, the agency may need job history and qualifications but not a home address, birth date, photograph, or personal references. Use an internal application identifier to reconnect the summary later. Test preprocessing with several formats, including scanned attachments, to ensure excluded fields do not survive in extracted text. If a field is required for another recruitment purpose, that does not automatically make it necessary for this AI task.
Review the exact product, account type, contract, and settings you will use. Investigate processing purposes, retention, training use, subprocessors, location options, deletion mechanisms, and incident commitments. Do not assume a provider's consumer privacy policy describes its business API agreement. Record the documentation date and unresolved questions for procurement or legal review.
The agency should ask whether application text remains in request logs, how long it is retained, and whether available controls differ by endpoint or feature. Verify answers against official service documentation and contractual material rather than sales shorthand such as “private AI.” If a required control is unavailable, change the design or supplier. An automation should not enter production while a fundamental data-handling requirement remains an undocumented assumption.

Use narrowly scoped service accounts and separate development from production. Store credentials in supported secret-management facilities rather than prompts, spreadsheets, or shared notes. Decide which staff can view source applications, generated summaries, execution histories, and configuration. Review permissions when roles change and remove unused integrations promptly.
Set retention periods by data category and justified purpose, subject to applicable obligations. For the recruitment workflow, temporary extraction files may need a much shorter lifetime than the authorized candidate record. Test whether deletion reaches intermediate storage and whether backups follow a separate documented expiry. Avoid copying complete applications into operational logs; a record identifier and error category may be enough for troubleshooting. Shorter retention is valuable only if the implemented settings actually enforce it.

Explain the relevant automated processing to candidates in an appropriate notice and identify how they can raise concerns or exercise applicable rights. Determine the legal basis and any additional assessment obligations with qualified advice. Do not treat a generic checkbox as a universal solution to recruitment privacy or automated decision-making requirements.
Keep the summary task separate from a hiring decision. A reviewer should be able to inspect the source application, correct an inaccurate summary, and avoid interpreting missing model output as missing candidate experience. If the model invents a qualification or omits a career break explanation, provide a correction path. Generated text about a person can affect them even when the system never assigns a numerical score or makes the final decision.
Run two tabletop exercises: a candidate asks what information is held, and an integration accidentally sends an application to the wrong destination. Identify who investigates, how processing is paused, which records establish the facts, and who assesses notification obligations. Avoid hard-coding a universal notification deadline because applicable rules and circumstances differ.
For the agency, the access exercise should locate the source file, summary, linked CRM record, and relevant vendor-held data without searching every employee's inbox. The incident exercise should include revoking exposed credentials and preserving necessary evidence securely. Record gaps, assign fixes, and retest before rollout. Revisit the checklist when a new model feature, attachment type, destination, or vendor changes the information route; privacy review must follow the actual system as it evolves.
