n8n vs Make vs Zapier: Choosing an Automation Platform Carefully
Compare workflow platforms by integration fit, governance, maintenance, and total cost rather than headline feature counts.

AI & Automation
Estimate automation work transparently through discovery, scope, risk, implementation, and maintenance rather than promised revenue.
Price a bounded service rather than an aspiration such as “save my team time.” Describe the process being automated, the deliverables, supported systems, acceptance criteria, and exclusions. Identify whether you are selling discovery, implementation, maintenance, or a managed operating service. Each carries different obligations and should not be hidden inside one unexplained fee.
Imagine a consultant automating supplier invoice intake for a furniture retailer. The proposed system extracts fields, checks required information, and creates draft accounting entries for staff approval. It does not authorize payments or promise error-free tax treatment. Those boundaries affect effort, risk, and price. Make them visible before discussing projected savings so the client understands what the fee actually purchases and which responsibilities remain with its team.
Offer a paid diagnostic when source documents, integrations, or approval rules are poorly understood. Define its outputs: a process map, sample-data assessment, integration findings, risk register, and implementation estimate. Discovery should provide usable information even if the client chooses not to proceed. State whether any discovery fee will be credited toward later work.
For the retailer, inspect an agreed sample of invoices from different suppliers, including scans and credit notes. Verify that the accounting API supports draft entries and required tax fields. If the documents vary substantially, a fixed implementation quotation issued before this investigation would conceal major assumptions. Price discovery as a separate bounded engagement instead of quietly recovering unpaid investigation through an inflated build fee or accepting unlimited uncertainty.
Break implementation into design, connector setup, extraction rules, validation, exception handling, testing, documentation, training, and launch support. Estimate effort for each activity and identify client dependencies. Add contingency transparently for defined uncertainty rather than calling an unexplained markup a guarantee. Your internal calculation can inform a fixed fee without requiring you to sell every hour separately.
As an illustrative estimate, allow 6 hours for design, 12 for integration, 10 for validation, 8 for testing, and 4 for handover: 40 hours total. At an internal planning rate of $100, the base is $4,000. A disclosed $800 uncertainty allowance produces a $4,800 implementation proposal, excluding applicable taxes and third-party charges. These are example arithmetic inputs, not market rates or a recommendation for every project.

Estimate value from the client's measured process and label assumptions clearly. Separate theoretical time released from cash savings: staff spending fewer minutes on data entry does not automatically reduce payroll. Consider review effort, exception handling, software costs, and the value of improved turnaround. Avoid tying your credibility to income or return-on-investment guarantees you cannot control.
Suppose the retailer handles 600 invoices monthly and expects three minutes less manual work per invoice. That suggests 30 gross hours released. If ongoing review and exceptions consume 10 hours, the modeled net is 20 hours before other operating effects. At an assumed $25 hourly labor cost, that is $500 of modeled monthly capacity value, not a guaranteed cash benefit. Validate the assumptions through a pilot before presenting a payback scenario.

List automation platform fees, model usage, accounting subscriptions, hosting, and support separately from implementation. Explain who owns vendor accounts, who pays variable charges, and what happens when volume grows. Define acceptance tests around observable system behavior and agreed sample cases, including error handling. A successful demo is not an adequate substitute for written acceptance criteria.
For invoice intake, require correct routing of supported invoice types, no duplicate draft entry when the same invoice is resubmitted, and clear escalation of missing required fields. Agree the test set and acceptable tolerances in advance. If a client's account lacks a required API permission, the contract should explain the dependency and change process. Do not quietly absorb an accounting-system migration into a quote for one intake workflow.
Describe the post-launch support window, response expectations, included fixes, and exclusions. Distinguish defects against the agreed scope from new requirements, such as adding suppliers or a second accounting system. Define who monitors failures and how urgent processing continues while the automation is paused. Avoid selling “lifetime support” without a sustainable operational definition.
The retailer might receive a short stabilization period followed by an optional monthly maintenance package with a stated allowance and review cadence. Changes beyond that allowance require approval before work begins. Use payment milestones tied to discovery, build readiness, and acceptance, with terms appropriate to the engagement and local requirements. A defensible price combines clear deliverables, realistic risk allocation, and accountable support; it does not need an earnings promise to sound valuable.
